Prolancer — Privacy Policy

What Prolancer does

Prolancer is a utility for freelancers to track driving mileage, working hours, and per-diem expenses, and to generate PDF invoices and reports based on that data. This policy explains what the app collects, where it's stored, and what's shared with third parties.

Where your data lives

Prolancer doesn't have user accounts on our server. Your settings, personal/billing details, and saved report history live in your own iCloud via Apple's CloudKit framework, encrypted by Apple at rest and synced automatically between your iPhone and iPad if you're signed into the same Apple ID. We can't see your data — it never arrives on our backend.

• App settings (name shown on invoices, saved home/work addresses, per-km rate, currency, pay rates, overtime/night/turnaround/ vacation rules, and UI preferences like theme and language) — stored in your iCloud.
• Personal/billing details (role, address, phone, email, social security number, bank account number, tax percentage) — also stored in your iCloud. These fields are sent to our backend only at the moment you generate a PDF, used to render the document, and immediately discarded; they are never written to disk on our server.
• Report history — when you generate a PDF (mileage, working hours, or per-diem), a copy of the report is auto-saved in your iCloud so you can re-open or duplicate it later. You can delete individual entries from inside the app.

Apple's iCloud is governed by Apple's privacy policy; we have no contractual relationship with you about that data.

What our backend sees

Our backend (hosted on Fly.io in Stockholm, Sweden) is stateless. It receives a request, does one job, and forgets:

• PDF generation — when you generate a PDF, the iOS app sends the report data (your name, project name, distances/hours/days, and the device-only personal fields above) to the backend. The backend renders the PDF, streams it back, and discards the request body. Nothing is logged or stored.
• Map lookups — addresses you type on the Kilometers tab are forwarded to Google's Routes API and Places API. We pass through Google's responses without keeping a copy.

Third parties

• Apple iCloud / CloudKit — stores your settings, personal details, and report history. Apple's privacy policy governs that data.
• Google Maps Platform — addresses you type into the Kilometers tab are forwarded to Google's Routes API and Places API. Google's privacy policy applies to those requests.
• Fly.io — hosting provider for the stateless backend. Fly.io's privacy policy.

What we don't do

• No user accounts on our server. No email address, no password.
• No location tracking — the app has no access to GPS or background location.
• No access to your photos, contacts, microphone, or camera.
• No advertising identifiers (no IDFA) and no third-party tracking SDKs.
• No analytics — we don't currently use any analytics service.
• No email from us — we have no way to email you and don't intend to.

Account deletion

Because all of your data lives in your own iCloud, there's no separate "account" to delete on our side. To remove everything:

1. Open Settings → Apple ID → iCloud → Manage Storage → Prolancer on your iPhone or iPad.
2. Tap Delete from iCloud to wipe Prolancer's stored data from your iCloud.
3. Optionally, delete the app from your phone — that removes any remaining local-only cache.

Once you've done that, no Prolancer-related data exists on Apple's servers or ours.

Your rights

You can:

• Access and edit all stored data inside the app.
• Delete individual report entries from the History sheet.
• Remove all of your data via iOS Settings → iCloud — see "Account deletion" above.
• Email the address below for any other privacy-related request.
